1. Receive, log, and track plans and specifications as the project requires. 2. Assist the project manager and team members to determine changes in scope resulting from revisions and bulletins issued. 3. Maintain accurate and current transmittals and punch lists. Issue logs, meeting minutes and daily reports while ensuring that team members are aware of current changes, additions and deletions. 4. Responsible for the submittal process including, but not limited to, gathering information from the project team, monitoring the submission schedule, status, and tracking of same. 5. Handle requests for information, change order requests, change orders, contracts, scope changes, and payment applications in an orderly, updated manner. 6. Track and file progress photos. 7. Maintain current vendor director and lists; distribute to team members. 8. Type correspondence, meeting minutes, compile required documents in standard company format, etc. 9. May prepare own correspondence and compose for signature as directed. 10. Develop and maintain filing system. 11. Answer telephones, take messages, screen and handle routine items. 12. Maintain projects calendar; arrange and schedule meetings; coordinate business and client meetings. 13. Open and distribute mail for project/department. 14. Arrange for travel, hotel, and car reservations. 15. May assist in the maintenance and update of accounting reports. 16. Assists in the preparation, compilation and distribution of monthly reports. 17. Handle and/or administer confidential documents. 18. May function as a liaison between supervisor and other company personnel. Set up, maintain and prepare timesheets, Workers Compensation forms, and arrange for temporary office personnel, as required. 19. Prepare all bid document packages, distribute and track from initial stages of bid solicitation to contract signing. 20. Prepare, distribute and track (logs) including, but not limited to, scope changes, purchase orders, insurance, contract, project and shop drawings to owner, trade/subcontractors and project staff. 21. In field office, order and maintain office supplies, first aid kit, vendor supplies and office machinery. 22. Maintain and update accounting, safety and various project reports. 23. Assist trade/subcontractors understand processes required for payment, etc., and verify trade/subcontractor information is current prior to Accounts Payable submission. 24. Assist in monthly billings to owners and track payment. 25. Coordinate job deliveries and pick-ups. 26. Assist in the preparation, track and draft change orders for the project manager's signature. 27. May keep track of project budget. 28. Close out and archive project files, and assists with closeout manuals. 29. Be supportive of and involved in the quality and safety program. About Aerotek: Our people are everything.
